The academic operations manager (AOM) supports the faculty and leadership team to ensure that they have the materials and tools needed for meeting Ascend’s academic goals. The AOM trains and supports staff on our student and academic data software systems, creates and manages the daily schedule, ensures that assessments are administered and data is captured, and that academic materials are purchased and available in the classroom.

Responsibilities

Curriculum and Assessment

  • Coordinate assessment administration, including but not limited to MAP testing, SATs, PSATs, benchmarks, finals, mid-terms, and Regents (January, June, August). 
  • Support the instructional team in ensuring that assessments are ordered, administered, and that data is captured in academic data systems. Manage assessment deadlines and communication about assessments.
  • Oversee progress report and report card deadlines; prepare mailings and materials for families; track conference completion.
  • Ensure that all required curricular materials are purchased, delivered to schools, placed in classrooms, and inventoried on a regular basis. 
  • Oversee the functionality and inventory for student, staff and classroom technology.
  • Scheduling
  • Prepare substitute coverage when teachers are out.
  • Print and manage schedules and students rosters, as prepared by the school director and academic dean.

Data Systems and Reports

  • Maintain permanent student records for all students in IC for the purpose of ensuring compliance with financial, legal, state or federal requirements.
  • Maintain back-end support for web-based programs like Naviance and online credit recovery. 
  • Compile regular reports, including but not limited to honor roll, on-track to 4-year graduation, and class rank.
  • Ensure that BAHS taps the full potential of the Infinite Campus student information system and the Illuminate academic data system, by working on the setting up of the new systems, training staff, and instituting protocols to ensure system-wide consistency in use.

Events and Projects

  • Support operational aspects of family events (e.g. conferences, college nights, etc.)
  • Coordinates graduation and academic award ceremonies in collaboration with the director of operations and school director.
  • Work with the director of operations and school director on other operational projects and initiatives as needed.

Staff and Reporting Relationships

 

The academic operations manager will report to the director of operations and collaborate with the leadership team.

Qualifications

  • Bachelor’s degree
  • Very strong computer skills, including fluency with Microsoft Excel
  • Strong writing skills
  • Exemplary attention to detail
  • Strong analytical and problem-solving skills
  • Excellent skills of organization and follow-through
  • A very strong work ethic and a sense of urgency
  • Ability to work under pressure and tight timetables
  • Ability to self-manage in a highly professional work environment, which requires interfacing with constituencies at the network and school levels
  • Instructional high school experience a plus
  • Experience with data management systems, similar to Infinite Campus, Illuminate DNA, Automate The Schools (ATS), preferred
